Bill Payment

Managing accounts payable so bills get paid on time with tracking, scheduling, and recording.

What This Is

Bill payment is accounts payable management. We track what you owe, to whom, and when it’s due. Bills get scheduled, paid on time, and recorded properly in your books. Nothing falls through the cracks, nothing gets paid twice, and nothing sits in a pile until someone notices a late fee.

This covers vendor invoices, recurring expenses, rent, utilities, supplier payments, and anything else that comes with a due date. You forward the bills to us or we pull them from your systems directly. From there, we handle the scheduling, payment, and recordkeeping so your accounts payable stays organized and current.

What Gets Handled

Vendor invoices, rent, utilities, insurance, loan payments, subscriptions, and any other recurring or one-time bills. Each one gets logged, scheduled for payment by its due date, and recorded accurately in your accounting system so your books always reflect what’s been paid and what’s still outstanding.

How It Works

You send us your bills as they come in, whether that’s by email, photo, or through a shared folder. We enter them into your system, confirm the amounts and due dates, and process payments according to the schedule you approve. You get visibility into what’s going out and when, without having to manage the details yourself.

Why This Matters

When you’re running a business in the Bronx or anywhere in the city, bills come from everywhere. Suppliers, landlords, insurance companies, equipment vendors, utilities. Each one has its own due date, its own payment terms, and its own late penalty. It doesn’t take much for one to slip past you, especially during busy weeks when paying a vendor invoice is the last thing on your mind.

Late payments cost real money. Late fees add up. Vendor relationships get strained when payments are consistently behind. Some suppliers adjust their terms or cut off credit entirely. And every missed or misfiled payment creates a mess in your books that someone has to clean up later.

The Late Fee Problem

A $35 late fee on one bill doesn’t seem like much. But spread that across five or six vendors over the course of a year and you’re looking at hundreds or thousands of dollars wasted on penalties that were completely avoidable. That money could have gone toward payroll, inventory, or just staying ahead on cash flow.

The Tracking Problem

When bills get paid out of your personal memory or from a stack on your desk, there’s no system. You forget who you already paid. You double-pay a vendor and don’t notice for weeks. You lose track of a bill and find out about it when the supplier calls asking where their money is. All of this creates confusion in your records and tension with the people you depend on.

What Changes

Every bill gets tracked from the moment it arrives. You know exactly what’s due, when it’s due, and what’s already been paid. There’s no guessing, no digging through emails, and no surprise phone calls from vendors asking about overdue invoices. Your accounts payable is organized and your books reflect it accurately.

You also get a clearer picture of your monthly cash outflow. When all your bills are tracked in one place with scheduled payment dates, you can see what’s going out each week and plan accordingly. That kind of visibility makes a real difference when you’re managing cash flow closely, which most small businesses in NYC are.

Clean Vendor Records

Every payment is recorded with the correct vendor, amount, date, and category. When tax time comes or when you need to look up your payment history with a particular supplier, the information is already there. No searching through bank statements or email threads trying to piece it together.

One Less Thing on Your Plate

Paying bills is not complicated work, but it takes time and attention that most business owners would rather spend elsewhere. Handing it off means you’re not spending your evenings catching up on vendor payments. The bills get handled properly and you get that time back for the parts of the business that actually need you.
